Assistant Operations Manager (AOM) Job Description

Job Title: Assistant Operations Manager (AOM)
Reports To: Owner
Core Mission: To consistently execute and maintain the systems, facilities, and team needed to deliver The School Yahd's promise: Operational excellence that maximizes the fun and connection our guests experience.

About The School Yahd
The School Yahd is Central Massachusetts' premier event space and bar, dedicated to helping groups connect and create fun memories through the simple power of play. We offer a space filled with 30+ nostalgic games and a full bar, with core services including Private Venue Rentals, Birthday Parties, Co-Ed Recreational Leagues, and Open Play Hours. We are expanding our team to support aggressive growth goals.

Key Responsibilities
As the Assistant Operations Manager, you will be directly accountable for the following five core operational areas:

1. Facilities & Guest Experience Management
  • Oversee the physical readiness of the venue, ensuring alignment with the goal of maximizing fun and connection for guests.
  • Conduct daily inspections to ensure all nostalgic games are fully functional, clean, and safe.
  • This includes ensuring game stations are tidy, complete, and ready for play (e.g., ping pong balls stocked, kickballs inflated).
  • Monitor the floor for safe play and responsible alcohol consumption during Open Play and events.
  • Ensure the facility is clean and secured at closing, with all game stations reset.

2. Inventory & Cost Control
  • Manage all stock, including bar, kitchen, and supplies.
  • Implement weekly inventory tracking and manage all vendor ordering.
  • Achieve targets for inventory shrinkage (< 1.5%) and labor cost percentage (< 28%).
  • Check stock levels daily for beverages (kegs, bottles, cans, liquor) and food items to note any items running low.

3. Staff Management & Scheduling
  • Own the scheduling, training, and performance management of the Floor, Bar, and Kitchen Staff.
  • Ensure optimal coverage and adherence to labor budgets.
  • Function as a true manager who delegates effectively and holds the team accountable to clear expectations.
  • Conduct brief staff meetings before private events to review the client's schedule and special requests.
  • Ensure all staff serving alcohol are TIPS (or equivalent) certified.

4. Financial Operations & Reporting
  • Handle daily cash reconciliation and POS system maintenance.
  • This includes counting the cash register and verifying it matches the opening amount.
  • Reconcile the cash drawer and POS sales report at closing.
  • Ensure technology uptime.
  • Compile all necessary operational data for the weekly Level 10 Business Meeting.

5. Policy & Safety Enforcement
  • Ensure strict compliance with all company policies and state regulations, especially responsible alcohol service.
  • Required to refuse service to any visibly intoxicated person.
  • Ensure staff check the ID of any guest who appears to be under the age of 30.
  • Act as the primary on-call escalation point for complex issues during scheduled shifts.
  • Oversee the reporting protocol for any guest or staff injury, no matter how minor, by completing an internal incident report

Qualifications and Accountabilities
Important Expectations:
  • Process Ownership: Take full accountability for the creation and consistent use of Standard Operating Procedures (SOPs) for all five major functions.
  • Driving Profitability: Utilize the Value-First approach by consistently hitting key Scorecard metrics: Labor Cost, Inventory Shrinkage, and Game Down-Time.
  • A strong preference for candidates who thrive on structure and measurable results.

Compensation & Benefits:
  • Starting Pay Range: $25.00 – $28.00 per hour.
  • Benefits: Paid Time Off, Healthcare Compensation.
